Role
Project Manager

Improving efficiency and team collaboration with Asana implementation.

Overview:
In the role of Design and Special Projects Manager at Ronald McDonald House Charities of Central Indiana (RMHCCIN), I identified inefficiencies in the Development and Marketing teams' processes, especially as we transitioned back to a hybrid work model following the COVID-19 pandemic. To enhance collaboration and streamline our workflows, I spearheaded the implementation of Asana, a project management tool, to bring clarity and coordination to our projects across all departments.

Challenge:
The shift to remote work during the pandemic highlighted significant gaps in our team's ability to collaborate efficiently and keep track of project progress. Upon returning to a hybrid work model, these challenges persisted, with team members frequently out of sync due to varying in-office schedules. We needed a solution that could offer transparency, improve communication, and provide a clear overview of ongoing projects, regardless of where team members were working.

Solution:
I conducted thorough research into various project management tools, ultimately selecting Asana for its robust features and user-friendly interface. After gaining approval from our CEO and key stakeholders, I formed an implementation committee composed of representatives from each department. Together, we worked closely with Asana's onboarding team to tailor the platform to our specific needs.

To ensure a smooth transition, I led 1-on-1 training sessions with each staff member, completed the Asana Academy courses to master the platform, and developed internal processes that aligned with our workflow. The implementation process was collaborative, with the committee playing a crucial role in shaping how Asana would be used across departments.

Results:
The introduction of Asana significantly improved project clarity and team collaboration. With the hybrid work model still in place, Asana allowed our teams to stay connected and up-to-date on project statuses, even when not physically in the office. The platform provided a comprehensive overview of all ongoing projects within the organization, ensuring that no tasks were overlooked and that deadlines were met more consistently.

Conclusion:
Implementing Asana transformed how our teams at RMHCCIN approached project management, leading to more efficient workflows and enhanced communication. The ability to monitor project progress in real-time, coupled with the increased collaboration facilitated by the platform, contributed to a more productive and organized work environment, ultimately allowing us to better serve our mission.
